All successful journeys begin with proper planning. With EPI, Board Meetings run only 1-2 hours in duration, which is directly attributable to Management Report Packets that are hand-delivered to each Board Member 2-3 days in advance of Board Meetings, allowing all parties to be properly prepared.

Accurate Recordkeeping
Fiscal responsibility is an essential element of property management. EPI's accounting staff maintains a comprehensive system of records, books, and accounts in a manner satisfactory to the Association. We will provide the Association with a customized Balance Sheet, Profit and Loss, Statement of Receipts, Disbursements, and Detailed General Ledger Trial Balance on a monthly basis. A budget is prepared 90 days in advance of the fiscal year-end, providing the Board with a realistic cash projection by line item for the next year based on historical data.

Arguably the most important function of any management company is the monitoring of delinquent assessment accounts. If assessments are not collected, the funds are not available for the maintenance of the property. EPI maintains a detailed summary of all action relative to homeowner assessment balances and collection activity, which is provided to the Board on a monthly basis.

Effective Communication
Without excellent communication, any journey is fraught with a lack of direction and purpose. At EPI, honest, timely communication with Board Members and homeowners is our top priority, through telephone, fax, email, website development, as well as visits to our corporate offices. All Property Managers carry communication radios at all times for instantaneous access by all staff members.

A custom-designed software control system allows EPI to log in all work orders by property, unit number, and date sequence. Homeowners receive a written confirmation that a work order has been generated.

A daily "opens" report is reviewed by the Service Department representatives to monitor the status of all work orders to a satisfactory resolution. The Board of Directors receives a copy of both the "pending" and "history" work order reports on a monthly basis.

Comprehensive Property Evaluations
Property Managers perform detailed written inspections, which include photos and recommended action to the Board of Directors.

Our Property Managers inspect the buildings and grounds of the properties, recording their observations in detail of the quality of contractors work, needed repairs, rule violations, etc. These reports are provided to the Board on a monthly basis and assist in identifying long-range captial expenditures.
